What Is the ProofreadNOW Power-of-Two™ Process?

Technology is best at supporting editors, not replacing them. Every file you send us goes through our signature double-read review. We call this our Power-of-Two.

  • First Pass: A highly experienced editor reviews the text for grammar, punctuation, brand consistency, and adherence to your company style guide (if you’ve given us one). 

  • Second Pass: A second (more senior) editor does a complete independent review of your document, from beginning to end, to catch anything the first editor might have missed.

How Does ProofreadNOW Select Proofreaders and Editors?

Before being invited to work as part of our professional team, candidates with at least five years of professional proofreading experience must pass a battery of our own tedious and difficult tests. Very few of those who apply to work with us are accepted, because our standards are very high. In fact, it’s fewer than one in 1,000.

Once in our system, our internal feedback immediately lets our editors know how they did on every job. The second, usually more senior, editors monitor the work of all first editors. Every job is a test of sorts. This ensures top-notch quality all day, all night, and all weekend.

If I Like Certain Editors, Can They Be Assigned to My Account?

Yes, we assign a team for many of our high-volume clients. Your team comes to know your style guide inside and out to ensure maximum consistency across all of your publications.

  • Prospects with at least five years of professional proofreading experience undergo a series of rigorous proofreading tests on which they must score nearly perfectly.

  • We do background checks on proofreader prospects. One in a thousand makes it this far.

  • All proofreaders sign a strict NDA.

  • And even once in the system, it can take years to become a second proofreader.

  • So until then, for first readers, every document is a test of sorts, reviewed end-to-end by a more senior editor. Any mistakes found on the second pass are noted and reviewed with the first editor.

ProofreadNOW keeps your submissions in the strictest confidence. Your documents are never printed here. They are always kept securely online, behind our firewall. We consider this privacy policy to be a binding agreement.

We never give, sell, or transfer your name or personal information to anyone outside our company. Though you may receive certain banner ads in our notifications to you, your identity and vital statistics are never distributed. You have our word on that.

We recognize that your privacy and your document security on the Internet are extremely important. We respect your privacy and have created this policy to demonstrate our firm commitment to your privacy, to let you know what personally identifiable information we collect, and to describe how the information is used. If you feel our privacy policy has been violated, please send email to Support@ProofreadNOW.com immediately.

FIRST AND FOREMOST, BE ASSURED NO PERSONAL INFORMATION IS EVER DISTRIBUTED BEYOND OUR SERVER. NO IFS, ANDS, OR BUTS ABOUT IT. WE DO NOT SELL OR IN ANY WAY DISTRIBUTE YOUR NAME, YOUR ADDRESS, YOUR BILLING INFORMATION, OR ANYTHING ELSE, TO ANYONE, AND WE NEVER WILL.

Registration Information

ProofreadNOW categorizes users of our site into three groups: Customers, Employees, and Visitors. Customers are people who have registered with us and accepted our Legal Notice & Disclaimer. Employees are people whom we employ to provide services to our customers. Visitors are individuals who visit our website, but who have not yet registered to use the ProofreadNOW service.

Customer Registration: Our site’s registration form requires Customers to give us contact information (name and email address) and credit card or corporate billing information. We use contact information from the registration form to send information about our company, or to contact Customers when necessary to administer the site. We use credit card and billing information from the registration form to bill Customers for services provided, as well as to verify Customer names, addresses, and other information.

WE DO NOT SELL, GIVE, OR OTHERWISE TRANSMIT YOUR EMAIL ADDRESS, OR ANY OTHER INFORMATION ABOUT YOU, TO ANYONE. IF WE HAPPEN TO SEND YOU AN AD IN ONE OF OUR EMAILS BACK TO YOU, THE ADVERTISER STILL WILL NEVER RECEIVE YOUR NAME FROM US. THAT’S FIRM. THAT WILL NOT CHANGE. WE PROMISE.

Other Information

Aggregated Information: We may use some of the information collected from Customers and Visitors in aggregate form to improve our marketing and promotional efforts. This information does not identify individuals. We also may use the information to improve our products and services.

IP Address: Our website logs IP addresses for system administration purposes, such as to help diagnose problems with our server or to administer our website. We do not link IP addresses to personally identifiable information.

Use of Cookies

We use a feature of browsers to set “cookies” on Customers’ and Visitors’ computers. A cookie can contain information, such as a user ID, that our website uses to track the pages Customers and Visitors visit. This allows us to measure and collect aggregate information about usage on our website.

In addition, cookies enable Customers to enter their passwords less frequently during a session. Cookies alone cannot be used to find out the identity of any user; the only personal information a cookie can contain is information that Customers and Visitors voluntarily supply themselves.

Customers and Visitors can refuse cookies by turning them off in their browsers; however, those who do so will not be able to use the ProofreadNOW service at this time. Cookies are stored on Customers’ and Visitors’ hard drives, not on the ProofreadNOW website. Most cookies are “session cookies,” which are automatically deleted at the end of a session.

Security We Provide

We use security measures including encryption and authentication from Let's Encrypt to protect against loss, misuse, and alteration of your personal information under our control. We use generally accepted industry standards to determine the hardware and software requirements for providing security.

We do not email your document back to you unless you specifically request that service when you submit your job. Instead, file transmission from your platform to our server, and back again, is via secure FTP. We do use email to notify you that your document is ready for pickup.

Encryption

We use the security assurance services of Let's Encrypt, a leader in the secure certificate business, to encrypt file transmissions between our server and you. 

Correcting or Updating Your Information

Customers are able to modify certain personally identifiable information previously provided to us through a link in their personalized customer area.

Nondisclosure Agreement

PROOFREADNOW.COM’S AGREEMENT ON IDEAS, INVENTIONS, CONFIDENTIAL INFORMATION, AND LIABILITY LIMITATION

To ensure the privacy and confidentiality of documents submitted by Customer for servicing, ProofreadNOW.com, Inc. (“Company”) agrees to the following:

  1. Nondisclosure and Non-Use 
    Both during and after contact with the Customer, Company will not disclose or deliver to anyone, whether employed by the Company or not, except as authorized by the Company, or use in any way other than in the Company’s business, any information or material related to documents submitted for servicing by the Customer, including, without limitation, information or material received by the Company from others and intended by the Company to be kept in confidence. The Company recognizes that much of, if not all, such information and material does constitute trade secrets and valuable property of the Customer, and is considered Confidential Information. This Agreement covers all information contained in documents submitted by the Customer.
  2. Liability for Breach 
    The Company acknowledges that this Agreement sets forth an enforceable agreement on its part and that it is subject to immediate action by the Customer for any breach of this Agreement and that such an action will not relieve it from its continuing obligations under this Agreement or from the imposition by a court of any judicial remedies, such as money damages for, or an injunction against, such a breach.
  3. Liability for Errors, Additions, and Omissions 
    In the event a document submitted for proofreading is returned with errors, additions, or omissions, or any other changes that render the document different from its original meanings, intentions, or uses, and/or that result in material damage to the Customer, the Company shall be liable for no more than the cost of the service rendered to the Customer. Notice of an error must be sent to the Company within ten (10) days of the completion of the job in which the error was made.
  4. Entire Agreement
    This, combined with the Legal Notice & Disclaimer elsewhere on the Company’s website, is the Customer’s entire agreement with the Company with respect to its subject matter, superseding any prior negotiations and agreements. This Agreement may not be changed in any respect except by a written agreement signed by an officer of the Company. No waiver by the Customer of any of its rights under this Agreement will be deemed to be a waiver of any other, prior, or future right under it.
